Shared Rooms are a powerful feature in Banty that allows clinics to manage patient flow and assignments effectively. By creating and configuring Shared Rooms, clinics can streamline patient management, improve communication among staff, and provide a better overall experience for both patients and healthcare providers.

Key features and benefits

  • Patients can self-select Shared Rooms or Providers during check-in, based on the options made visible by the clinic

  • Controlling patient visibility and access for clinicians ensures that each provider only sees the patients they are responsible for

  • Clinicians receive email notifications by default for patient activity related to patients assigned directly to them or to Shared Rooms they are assigned to, keeping them informed and up-to-date

  • Assistants or clinicians can re-assign patients to different Shared Rooms or Providers after check-in, if needed, providing flexibility in managing patient flow

Setting up and managing Shared Rooms

  1. To access Shared Room settings, navigate to the "Settings" menu and click on "Shared Rooms."

  2. To create a new Shared Room or edit an existing one:

    • Click on the "+ Create a Room" button or the "Edit" button next to an existing room

    • Enter a room name that clearly identifies the purpose or function of the room

    • Add or remove participants (staff members) who should be assigned to the room

    • Click "Save changes" to apply the updates

Using Shared Rooms effectively

Shared Rooms impact clinician workflows and patient management in several ways:

  • Patients can be initially assigned to a general Shared Room (e.g., "Front Desk") for intake and then reassigned to a specific provider's room once they are ready to be seen

  • Providers can focus on the patients in their assigned room(s) while still having the ability to view all waiting patients if needed (using the "Show patients assigned to others" filter)

  • Receptionists or triage nurses can manage patient flow by assigning patients to the appropriate Shared Rooms based on their needs and the clinic's protocols

To optimize Shared Room configuration based on your clinic's needs and roles, consider:

  • Creating Shared Rooms for each stage of the patient journey (e.g., "Check-in," "Triage," "Exam Rooms," etc.)

  • Assigning staff members to Shared Rooms based on their roles and responsibilities

  • Regularly reviewing and adjusting Shared Room assignments as clinic needs evolve

Best practices

  • Regularly review and update Shared Room assignments to reflect changes in staff roles and responsibilities

  • Communicate Shared Room purposes and assignments clearly to all staff members to ensure everyone understands their role in the patient flow process

  • Encourage clinicians to regularly review their email notifications and adjust their notification settings if needed to strike a balance between staying informed and managing notification volume
